Call for volunteers at the 68th NACAC Conference in Denver, October 4-6

The National Association for College Admission Counseling (NACAC) will be hosting its 68^th National Conference in the Mile High City October 4-6, 2012. As we celebrate 75 years of serving students and their families as they make choices about pursuing postsecondary education, 5500 professionals from around the world will experience the vitality Denver and Colorado has to offer.

The Local Arrangements Committee is seeking volunteers to assist with the many activities, and over the course of the year you have shown an interested in getting involved. If you are still interested, please visit http://www.nacacnet.org/events/2012/attendeeinfo/Pages/Volunteer.aspx and indicate the preferred committee for which you would like to volunteer. (This link has changed as NACAC has recently updated their web site).

Below is a list of the volunteer opportunities available which offer varying degrees of your time and commitment to fit your schedule.

Counselors Preview Day (CPD) Subcommittee - Assist with Friday events for local counselors, including the Counselors’ College Fair. Time commitment will be in approximately 2 hours shifts on Friday.

Hospitality Subcommittee - Assist with hospitality and directions within the convention center, providing directions to local activities/sites, manning the NACAC information booth, and coordinating the Ecumenical Service on Saturday. Time commitment will be in approximately 2 hour shifts from Tuesday through Saturday. This committee needs volunteers primarily from Denver or the surrounding area.

Logistical Arrangements Subcommittee - Assist with monitoring keynote/general session room, educational session rooms and other meeting rooms, including door scanning. Time commitment will be in approximately 2 hour shifts from Thursday through Saturday. This committee needs the largest number of volunteers.

Registration Subcommittee - Assist with self-scan registration and distribution of registration materials. Time commitment will be in approximately 2 hour shifts from Wednesday through Friday.

Special Events Subcommittee - Assist with aspects of the Welcome Reception and the Saturday Social. Time commitment will be in approximately 1-2 hour shifts on Thursday and Saturday nights.

Tellers Subcommittee - Assist with governance activities at Assembly and Annual Membership Meeting. Time commitment will be in approximately 4-5 hour shifts. Volunteers for this committee must attend a training the evening before Assembly and be available through Saturday, 5:00 p.m.

Monday Set-Up/Preparation - Assist in preparing registration to open the following day. Must be available Monday 1:00 p.m. – 5:00 p.m. Conference registration is not required for this committee.

We are gearing up for a truly SUPER CONFERENCE and simply cannot wait to have you join us in Reno! An amazing team of Superconference committee members and volunteers has put together an amazing program and are preparing for your arrival.

CONFERENCE PROGRAM

TRANSPORTATION

The Nugget Hotel offers a free airport shuttle. The airport shuttle picks up at the airport 15 minutes before the hour and 15 minutes after the hour, outside door D of the baggage claim area. From the hotel, departing from the Valet parking area every half hour, on the hour and half hour, from 4:30 a.m. to 12 Midnight.

ACCOMMODATIONS

We currently have well over 750 rooms booked for the conference. If you have not booked your hotel room, there is still time! Please contact the Nugget immediately. All room reservations must be MADE ONLINE at http://www.januggetsecure.com/jump/1519. Deluxe Rooms are $75/night + tax and fees, and Premium Rooms are $85/night + tax and fees. All rooms include either a King Bed or 2 Queen Beds. Both Non-Smoking and Smoking rooms are available. Rates include free shuttle to/from airport, free parking, free wireless Internet in guest rooms and unlimited access to the pool and fitness center.

PRE and POST CONFERENCE TOURS

The University of Nevada Reno and Sierra Nevada College at Lake Tahoe are excited to host you on their campuses. Please meet with University of Nevada, Reno staff member(s) within the ½ hour prior to your departure from the Nugget on the first floor at the registration desk near Valet. Our staff will direct you to the shuttles located at the 11th Street Transportation Center. Shuttles will leave PROMPTLY at 7:30am on May 2^nd and at 1:00pm on May 4^th. Please wear comfortable clothing and walking shoes to tour Sierra Nevada College. The weather in Lake Tahoe is often cooler and breezier than in Reno and we suggest bringing a windbreaker or extra layer. Feel free to bring an extra snack, especially for those who are not acclimated to living at higher elevations. Water and granola bars will be provided on campus. Please note: you must be pre-registered for these tours!

SMOKING POLICY

The state of Nevada does allow smoking indoors, and therefore you should expect smoking on the lower registration and casino level of the hotel. However, the entirety of the conference floor, where the superconference is located, is smoke free!

WEATHER

The Reno climate in May averages around 72 degrees as the mild spring turns the corner towards summer. The casino and its meeting rooms are climate controlled, but we find light layers an added bonus to take the chill off of any piped in air conditioning. If it gets too chilly inside, a quick pop out into the Reno May sunshine should set everything right!

ATTIRE

Welcome to the great wide west! What are we most known for? Being casual! Leave your ties and suits at home and embrace the west coast vibe!

DINING

The John Ascuaga's Nugget Hotel is equipped with nine dining options throughout its facility ranging from the ever-popular Starbucks Cafe (opening early just for us) to an oyster bar, steakhouse or noodle hut! If that simply isn’t enough for you, exit the hotel through the casino to Victorian Avenue where you will find a combination of an Irish pub, a brewery company, and an assortment of restaurants merely one block away. At the Nugget and its surrounding businesses, you can truly eat, drink, and be merry.

CONTINUING EDUCATION CREDITS/CLOCK HOURS

COLLEGE AND INVOLVEMENT FAIR
With over 140 colleges in attendance and a host of committees to volunteer for, this years’ College and Involvement Fair will be an event not to miss. All participants are encouraged to bring business cards to exchange, as materials will be minimal.

SOCIALS
The social is not to be missed! Wednesday night you can Party Like a Super Hero with not one, but two options: Dueling Pianos or the DJ/Karaoke rooms. Thursday’s Social will be Dancing with the Deans. Watch your favorite Deans cut the rug as they are matched with professional dancers from the University of Nevada Reno Dance Department and Never Enough Ballroom Dance Studio. Super Conference

This movie showcases four actual families as they navigate Senior year, college applications, college essays, the joys and sorrows of college decisions and the student/family choice of college. A group discussion will be lead by Bonnie Laughlin following the movie to highlight the details of each situation.

DEA Grant

DEA grant applications due on FRIDAY, March 2nd!! Don't Miss Out!

DEA Grants are available to help WACAC members to fulfill their vision of supporting underserved student populations. DEA grant funds can be used for things such as:

• funding materials to create and run a college workshop for underserved students

• funding counselors to attend professional development workshops across the country

• funding travel expenses to take a group of first-generation college students on a college tour

• and so much more….Get creative!

District Directions: WACAC and Sequoia Union HSD

WACAC’s partnership with Sequoia Union High School District in Northern California, called District Directions, held its district-wide retreat in late January. Every Sequoia Counselor attended, as well as counselors and admission professionals from several colleges and universities: Stanford, UC Santa Cruz, CSU East Bay, San Francisco State, Santa Clara University, Holy Names University, Notre Dame deNamur University, University of San Francisco, and Foothill College. Brian O’Rourke from Holy Names University served as the college and university coordinator, and David Moniz from the College Board was instrumental in securing district participation and provided significant data for counselor and administrator analysis.

Sequoia counselors examined school-specific data, constructed Action Plans, and reviewed plans for enhancing and building their college-going culture. The next step in the partnership will be the Share Learn Connect professional development event at St. Mary’s College in March. In addition, several counselors will attend the Superconference in Reno in May.

Sacramento Advocacy Team (SAT) Announced

WACAC members in Sacramento have formed to create the first-ever Sacramento Advocacy Team. The purpose of the team is to serve as front-line advocates and responders for relevant legislation impacting our profession.

At the Legislative Conference in Sacramento, the following WACAC members of the newly formed Sacramento Advocacy Team met: Jill Montbriand, Rio Americano HS; Joan Adams, retired; Dorothy Missler, American River College, and Margie Amott, independent counselor.

The SAT will be trained by WACAC Lobbyist Pam Bachilla at a meeting in April in Sacramento. If you know of other members who would be interested in serving, please contact Esther Hugo, Inter-Association Committee Chair at esther.hugo@gmail.com.

Summit on the Future of Counseling Update: Coalition for California’s Future

The Summit on the Future of Counseling, which convened in San Jose in early December, had a follow up meeting in conjunction with the WACAC Legislative Conference. Summit participants have decided to move forward by forming a coalition of leaders from the major counseling and education organizations in California. Members adopted a host of projects and initiatives designed to support counselors, and improve counselor image and professional development options. The coalition will meet in June in Southern California.

WACAC California Dreamin' Summer Tour 2012

WACAC offers a weeklong tour that is designed for high school, independent and community college counseling professionals. The California Dreamin’ Summer Tour includes tours of a wide range of colleges and universities (2-4 per day), introduction/update to the UC and CSU system (CA public universities systems), professional development sessions, time to network with colleagues from across the country and a fun evening out at one of California's many tourist sights.

This summer the tour will be Sunday, July 15-20. Specific details (price, schedule, etc) and registration will be announced mid-March 2012.

Nominations Open for WACAC Awards, Candidates for President-elect and Candidates for Assembly Delegate

Nominations must be submitted by completing the appropriate forms, and submitting them no later than March 12th. Elections will be conducted by email in April and the results announced on May 3rd during the WACAC meeting at the Superconference in Reno. The awards will be given in person on May 3rd during the WACAC meeting at the Superconference in Reno. It is best if the winner is present, however the names of the winners are kept secret until the award is announced.

In the next several months, you will be receiving very important and timely emails regarding our Super Conference with PNACAC and RMACAC, our College Fairs and our elections. Call for Nominations

In addition to seeking candidates for President-Elect, this year WACAC will be electing 7 new Assembly Delegates. These Assembly Delegates will represent the membership of WACAC in the National Assembly at NACAC Conferences from 2012-2015. To serve, the professional must be a member of NACAC and his/her institution must be an institutional member of NACAC as well.

Assembly Delegates are expected to attend at least three Board meetings per year (Summer Retreat, NACAC Conference and WACAC Conference) and WACAC pays most of the expenses if the person’s institution is not able to pay. The Nomination Committee will be seeking individuals who have made significant contributions to WACAC and to students and schools in their areas, and who will help broaden our representation within the Assembly.

Candidates will be asked about their willingness and ability to serve as Committee Chairs or Chairs-Elect as well. Nomination information for President-Elect and Assembly Delegates and related forms will be posted on the WACAC website (www.wacac.org) beginning February 1st, with documents due by March 1.

WACAC Service Award . . . given to a member who has made extraordinary contributions to the work of WACAC over a period of years.

Diversity, Equity and Access

The Diversity, Equity and Access (DEA) Committee values your dedication to promoting equality and access among students in our western region. Through the DEA Committee, WACAC offers grant funding in support of programs and projects that serve students from diverse backgrounds that are preparing for the college admissions process. The DEA Grants are intended to support individuals with opportunities to either attend professional development programs focused on under-served student populations or to create and implement innovative projects or programs. Projects and programs funded by the DEA Grant highlight the mission of WACAC and the DEA committee.

The DEA Grants provide funding (partial, full, or startup) to WACAC members, which can be used for registration, travel and lodging to NACAC or College Board professional development opportunities or for members to create special projects or programs.

In the past, DEA Grant funds have been used in the following ways: purchase of computers for a college access center, travel funds for first generation college students to visit colleges, purchase of Standardized Testing materials for non-profit organization, printing costs for a bilingual College Prep handbook and travel, lodging and registration costs to attend the Guiding the Way to Inclusion Conference in Chicago, Illinois. The possibilities are endless--Get creative and apply for a DEA grant!

Scholarships can cover the cost of the Local Counselors Day, Travel reimbursement, IDEA or PreConference, and full conference costs.

Legislative Conference

Registration is now open for the WACAC Legislative Conference: California 2012. The conference will be February 8th and 9th in Sacramento. Click HERE to register!

DEA Grants

The Diversity, Equity and Access (DEA) Committee values your dedication to promoting equality and access among students in our western region. Each year, the DEA Committee offers grants funds to WACAC members to advance the work of students from diverse backgrounds that are transitioning to college. The DEA Grants are intended to either:

a) support individuals with opportunities to attend professional development programs focused on underserved student populations or

b) to create and implement innovative projects or programs focusing on promoting college access to underserved student populations.

Projects and programs funded by the DEA Grant should highlight the mission of WACAC and will be showcased as a way of inspiring others to do similar initiatives.

The DEA Grant application will be available on the WACAC website after December 1st. Stay tuned!

NACAC Imagine Grant Applications Open

The Imagine Grant is used each year to support the professional development of counselors and special projects for counselors and/or students. Grant applications must be submitted by a member of an ACAC, but you do not have to be a NACAC member to win an award. The average award is about $800 and there is a total of $50,000 to be granted next year.

If you are interested in going to the NACAC Conference in Denver, the Superconference in Reno or the Summer Guiding the Way To Inclusion conference, you can apply for funds for those events. If you are interested in trying an event or project that would help students or other counselors, you can apply for funds for those events.

The deadline for the applications is December 1 ^st . . . go to the NACAC Website and search for Imagine Grants to read additional materials and instructions for applications.

Admission Practice Committee

On behalf of all the members of the Admission Practice Committee I hope the fall has been kind to each of you. As those of us on the high school side wrap up our last letters of recommendation, and our colleagues on the college side finish one final recruitment trip, we would like to take a moment to encourage you to familiarize yourself with both the NACAC Statement of Principles and Good Practice (SPGP) and the Student’s Rights and Responsibilities. As members of both WACAC and NACAC it is paramount that we continue to maintain the ethical standards demanded of our profession. As educators it is also incumbent upon us to guide our students to make thoughtful and principled decisions as well. Many WACAC members have just returned from this year's annual NACAC Conference held in New Orleans. While in the Big Easy, the Executive Board met to catch up and discuss plans for the upcoming year. We also held our annual business meeting with over 300 members in attendance. At the business meeting, the voting members approved the most recent changes to the by-laws!

Finally, one of our very own, Dr. Esther Hugo, was honored by the entirety of NACAC with the Gayle C. Wilson Service to Education Award. WACAC is forever indebted to Dr. Hugo for all the hard work that she has done for our organization. It was a truly wonderful experience to see her receive a standing ovation by all those in attendance!

WACAC Membership Meeting at NACAC

Hello!

It is hard to believe in just one week many of us will be gathering in New Orleans for this year’s annual NACAC Conference! As a reminder, the WACAC Business meeting will be held on Thursday, Sept 22nd from 4:45pm-6:15pm at the New Orleans Convention Center in Room 391/ 392. Our room is on the third floor located above Halls 12/J. Light refreshments will be provided and beyond simply getting a chance to connect and reconnect with fellow Western members, the WACAC Executive Board has exciting updates and announcements to make. An important vote will take place regarding approval of changes to our by-laws. As such, all WACAC members will be asked to check in and receive a voting card before entering the room for the business meeting.

Attached to this email is a copy of the minutes from our last general meeting, which was held at the annual WACAC Conference at Loyola Marymount University. Please take a minute to review these as we will ask for your vote to approve them at the business meeting.

Finally, prior to our business meeting, WACAC will have its own seating section at the Opening Session, so please keep an eye out for WACAC Executive Board members holding signs directing you on where to sit.

NACAC Conference

The WACAC General Business Meeting will once again take place at the annual NACAC Conference in New Orleans. The spring 2012 conference will be a unique opportunity to step up and get involved as WACAC joins PNACAC and RMACAC in producing a SUPERCONFERENCE! Volunteers from all three organizations will help plan this significant event by serving on a variety of committees, performing preplanning tasks, and managing duties at the conference itself. In the last week of June, the WACAC Executive Board had their annual retreat at The Nugget Hotel and Casino in Reno, NV- the site of next year's "Superconference"! Over several days, the board spent many hours defining the priorities for this coming year.
